1. About This Notice

This Privacy Policy explains how Nirvana Global Travel (NGT, “we”, “us” or “our”) handles personal information in connection with this website and enquiries about corporate travel programmes, TMC membership and strategic partnerships. It applies to website enquiries rather than the delivery of an individual travel booking.

Independent member Travel Management Companies (TMCs), travel suppliers and other service providers may handle information under their own privacy notices and agreements. Where you engage a particular provider, ask that provider for the notice that applies to its services.

2. Information You Provide

When you contact us, we receive the information you submit. The enquiry form asks for your enquiry type, full name, work email, organisation, country or region and message. You may also provide your role and markets of interest. We may retain related correspondence and information you choose to send during a business discussion.

Required fields help us understand and respond to your enquiry. If you do not provide the information needed, we may be unable to deal with your request. Please provide only information relevant to your enquiry. Do not submit passport copies, payment-card details, health information or other sensitive traveller records through this general enquiry form.

3. Technical Information and Cookies

Our hosting and website service providers may process technical information needed to deliver, secure and maintain the website. This can include an IP address, browser or device information, request times, pages requested and security or error logs.

Cookies or similar technologies may support essential website functions, security, caching and authorised administrator access. Your browser lets you block or delete cookies; doing so may affect some functions. If optional analytics, advertising or other non-essential tracking is introduced, the relevant notice and consent choices must be provided where required by applicable law.

The website uses Google Fonts. When your browser requests a font from Google’s servers, Google may receive technical information such as your IP address, browser information and the requested resource. See Google’s Privacy Policy for its handling of that information.

4. How We Use Information

  • Respond to your questions and assess corporate travel, membership or partnership requirements.
  • Arrange relevant discussions, prepare proposals and manage business correspondence.
  • Route your enquiry to the appropriate NGT team and, where relevant to your request, an appropriate member or partner.
  • Operate, maintain and secure the website; investigate misuse and resolve technical problems.
  • Meet applicable legal obligations, maintain appropriate business records and address complaints or legal claims.

We process personal information only where permitted by applicable law. Depending on the circumstances, this may involve your consent, steps you request before an agreement, performance of an agreement, a legal obligation or another permitted basis. Submitting an enquiry is not a subscription to unrelated marketing. Where consent is required for marketing, it must be obtained separately.

5. Who May Receive Information

Access is limited to people and service providers who need the information for the purposes described in this notice. Recipients may include authorised NGT personnel; hosting, email, website development, maintenance and support providers acting on our instructions; and professional advisers or public authorities where disclosure is necessary and lawful.

Where your enquiry requires local capability, relevant information may be shared with an appropriate independent member TMC or partner. We will explain the intended introduction where appropriate and seek any consent required by law. An independent provider may be responsible for its own subsequent processing.

Enquiry information is not offered for sale. Website administrators and authorised development providers may have access to enquiries submitted through a staging or review version of this website while supporting testing and administration.

6. International Handling of Information

NGT works with an international network. Website hosting, email, support providers or relevant member teams may be located in a country different from yours. Where personal information is transferred internationally, the transfer must comply with applicable data-protection requirements, including any required safeguards, permitted exceptions or consent. You may contact us for information about the handling relevant to your enquiry.

7. How Long Information Is Kept

Retention depends on the purpose and circumstances of the record. Relevant factors include the time needed to answer your enquiry, the progress of a business discussion or relationship, applicable record-keeping obligations and any complaint, dispute or legal claim. Information should be deleted or anonymised when it is no longer needed for those purposes, subject to lawful retention requirements. Contact us to ask about the retention of a particular record.

8. Security

We use reasonable technical and organisational measures appropriate to the information and the risks involved. These include secure website connections and restricting administrative access. No website, email system or method of electronic storage can be guaranteed completely secure. If your enquiry needs sensitive information, ask us to agree an appropriate channel before sending it.

9. Your Choices and Rights

Depending on the law that applies and any relevant exceptions, you may be able to request information about the processing of your data, obtain access or a copy, correct inaccurate information, request deletion, restrict or object to processing, or request the transfer of information. Where processing is based on consent, you may withdraw that consent; withdrawal does not undo processing that was lawful before withdrawal.

To make a request, use Contact NGT and select “General enquiry”. Identify your request without including unnecessary sensitive information. We may need proportionate information to confirm your identity or authority before responding. We will deal with requests within the period required by applicable law and explain any applicable restriction.

You may also raise a concern with the data-protection authority that has jurisdiction over your circumstances. These rights are subject to the requirements and exceptions of applicable law.

10. Children and External Websites

This website is intended for business enquiries and is not directed at children. Please contact us if you believe a child has submitted personal information. Links to independent websites are provided for convenience; their operators are responsible for their own content and privacy practices.

11. Contact and Updates

For a privacy question, request or complaint, use Contact NGT and select “General enquiry”. Please state “Privacy request” at the beginning of your message so it can be routed appropriately.

We may update this notice to reflect changes in the website, our handling of information or applicable requirements. The date at the top identifies the latest published version. Where a change requires additional notice or consent, that must be provided before the relevant new processing takes place.
